GOVERNANCE BOARD & COUNCILS
The ArchivesSpace governance model is built on the principles of maintaining a high level of community engagement and fostering an active and responsive development community. It is designed to provide opportunities for all levels of membership to participate in and provide guidance for the development of the ArchivesSpace application over time. Representatives from all types and sizes of member archives are eligible to serve on the Governance Board and the Advisory Councils. While some detail is provided here, the full governance structure is laid out in the ArchivesSpace Bylaws.
The ArchivesSpace Governance Board
The purpose of the ArchivesSpace Governance Board is to provide leadership for the ArchivesSpace community and advise Lyrasis, the ArchivesSpace organizational home, on the ongoing development and support of ArchivesSpace. The board sets membership policies, reviews and approves budgets and resource allocation, and advises on program initiatives, always with a focus on meeting the needs of a broad and diverse spectrum of archival institutions in a balanced and equitable manner.
Board Membership
The ArchivesSpace organization is governed by a 8-member Governance Board, composed of five elected members, plus one member from each of the project partner institutions (NYU and UCSD) and one ex officio, non-voting member from the Lyrasis (organizational home) senior management team.
Eligibility
Eligibility to serve on the Board shall be restricted to paying members, in good standing. Board positions representing the ArchivesSpace membership categories will be elected by the membership in annual June elections.
The Nominating Committee will identify a slate of candidates for the membership categories to be represented on the Board. The Nominating Committee will be appointed by the Governance Board and will consist of 11 members: Chair of the Governance Board or designee; Chair and Vice Chair of the Technical Advisory Council; Chair and Vice Chair of the User Advisory Council; five members-at-large representing the five ArchivesSpace membership levels; and the ArchivesSpace Program Manager (ex officio).
Terms
Terms for the elected Board members are for three years, with staggered terms, renewable one time via re-election. Terms begin July 1 of each year and end June 30 of the appropriate year. After two terms, Board members may be elected to serve again following at least a one-year hiatus.
Officers
Annually, the Governance Board will select one of its members to serve a three-year term: one year as Vice Chair, one year as Chair, and one year as Past-Chair. The Chair will preside over meetings and oversee the governance activities conducted under these Bylaws. Other officers will be defined when necessary and also be elected by the Board. The Officers will also be responsible for delegating nominations and other functional activities that need to be performed by the Board.
Meetings
Board business will be conducted through quarterly meetings (two in-person and two conference calls). Travel will be at each Board member’s expense, but may be subsidized in cases of financial hardship.

User Advisory Council
The User Advisory Council is a Governance group whose members are appointed by the Governance Board from nominations. This council provides essential community engagement and investment. By design, the council will include members from each level of membership to ensure that ongoing development and community activities represent the needs of all members.
Purpose includes, but is not limited to:
- Reviewing user-submitted enhancements and priorities for the application, in collaboration with the Technical Advisory Council. (Development Prioritization)
- Conducting user-centered testing of the application prior to releases, in collaboration with the Technical Advisory Council. (Testing)
- Maintaining and updating user documentation. (User Documentation)
- Advocating on the usability and functionality of the application. (Usability)
- Coordinating member-centered activities like our peer-to-peer Member Match support program. (Member Engagement)
Membership:
- No more than 17 members, distributed among all membership levels
- Appointed by ArchivesSpace Board from membership and council member nominations
- ArchivesSpace Program Manager ex officio
- Chair of Technical Advisory Council ex officio
- Beginning with new appointments made in 2021, three-year terms, renewable once under certain circumstances

Technical Advisory Council
The Technical Advisory Council is a Governance group whose members are appointed by the Governance Board from nominations. This council provides essential community engagement and investment. By design and when possible, the council will include members from each level of membership to ensure that ongoing development and community activities represent the needs of all members.
Purpose includes, but is not limited to:
- Reviewing user-submitted enhancements and priorities for the application, in collaboration with the User Advisory Council. (Development Prioritization)
- Conducting user-centered testing of the application prior to releases, in collaboration with the User Advisory Council. (Testing)
- Documenting the metadata standards used by ArchivesSpace and monitoring the standards landscape. (Metadata Standards)
- Identifying integration points for ArchivesSpace with other systems (e.g. digital asset management systems, patron and request management systems, etc.) and creating resources to assist the community with integration work. (Integrations)
- Maintaining and updating technical documentation, including documentation of the API. (Technical Documentation)
- Providing support and resources to help develop a community of code committers.
